Most event budgets start with one line: “two people for the booth.”
Then the doors open, and those two people are expected to stop busy attendees, explain your product, scan badges, hand out samples and still be smiling at 7 pm on day three.
That gap between “someone at the booth” and the real job is why event staffing quotes in Canada can look so different from one agency to the next. Here is what brand ambassadors, promo staff and trade show staff cost in 2027, what changes the price, and how to hire the right team for your event or activation.

Quick answer
In 2027, professional event staff and brand ambassadors in Canada typically cost $55 to $70 per hour, per person, inclusive of agency fees. Taxes are additional.
Where you land in that range depends on the role, the dates, the shift length, how much your staff need to know, and the calibre of the agency and staff you choose.
How much do brand ambassadors and event staff cost in Canada?
| Role | Typical hourly rate (inclusive of agency fees) |
|---|---|
| Street team and promo staff | $55 to $65 |
| Brand ambassador (sampling and activations) | $55 to $65 |
| Trade show booth staff | $55 to $65 |
| Lead generation staff (badge scanning, qualifying) | $55 to $65 |
| Product demonstrator | $55 to $65 |
| Bilingual staff | $65+ |
| Specialized staff (tech, healthcare and other expert knowledge) | $65+ |
| Team lead or on-site supervisor | $65+ |
These are planning ranges for Toronto, Vancouver, Calgary, Edmonton, Montreal and the rest of Canada, not quotes. GST, HST or QST is added depending on the province. In-store tastings are usually priced per tasting rather than per hour, and we cover those in a separate guide.
Why do event staffing rates vary?
The agency behind the staff matters most. An established event staffing agency with a vetted roster, experienced brand ambassadors, proper briefings and backup staff on call costs more than someone filling shifts from a job board. You see the difference in your booth: staff who arrive on time, know your product, and represent your brand the way you would. A strong reputation is built one event at a time, and the best agencies protect it by sending their best people.
Busy seasons cost more. Demand peaks from spring through summer and into early fall, when festivals, patios and outdoor events fill the calendar, and again over the holidays, from early December through New Year’s. When big events overlap, every brand is chasing the same experienced brand ambassadors. Booking early gets you the best staff at the standard rate.
Shorter shifts cost more per hour. Good event staff would rather take one eight hour shift than a four hour one, because it pays far more for the same trip to the venue. To fill short shifts with experienced people, agencies pay a minimum per shift, which raises the hourly cost. Longer shifts usually work out cheaper per hour.
Bilingual staff cost a bit more. Fewer people are fluent in a second language, and brands ask for them often, so they are booked quickly. If your audience needs it, book early.
Some events need certified staff. Liquor sampling needs staff certified for that province. Food demos may need a food safety certificate. Certain cannabis activations need staff with the province’s cannabis training. Certification does not always carry over from one province to the next.
Specialized knowledge narrows the field. Some booths just need warm, outgoing people. Others need someone who can talk about software, a medical device or a craft spirit after a briefing. The more your staff need to know, the higher the rate.
Travel adds time. Buzz Promotions has brand ambassadors and promo staff in every province, so most events are covered with local staff. Events outside major centres may include travel time.
You are not hiring someone to stand in your booth
“We just need someone to stand there” usually turns into this list once we talk it through:
- Start conversations before people walk past
- Explain what your company does in one clear sentence
- Spot real buyers and pass them to your sales team
- Scan badges and add useful notes to each lead
- Keep samples, brochures and the booth in order
- Represent your brand well for the whole shift
Standing there is the smallest part of the job.

What your event staffing budget buys
Lower end of the range: street teams, flyering, product sampling and general visibility. Friendly, reliable promo staff who keep things moving.
Middle of the range: trade show staff and brand ambassadors with real event experience who greet confidently, scan badges, support demos and work without supervision.
$65 and up: bilingual staff, specialized staff who can hold an expert conversation, and team leads who run your team on site.
Why the cheapest rate can cost you more
The lowest hourly rate rarely gives you the lowest total cost. We have seen exhibitors book the cheapest staff they could find, then watch their own sales team spend day one doing the staff’s job: re-explaining the product, qualifying visitors and covering breaks.
Then there is the risk nobody budgets for. If someone does not show up at 8 am on opening day, a freelancer has no backup. A staffing agency does. Ask every agency you compare what happens in that case, and get the answer in writing.
What a promotional staffing agency rate includes
You are paying for more than the hours in the booth. A professional agency rate covers recruiting and screening, scheduling, staff pay, insurance, briefings, backup staff, and someone to call when plans change the night before.
Before you book, ask about:
- Minimum shift length. Four hours is standard in Canada.
- Travel and parking. Downtown convention centre parking adds up over a multi-day show.
- Rush bookings. Last minute bookings usually cost more.
- Tax. GST, HST or QST is added to the quote.
A good quote lists all of these in writing, so nothing surprises you on the invoice.

Frequently asked questions
Are event staffing rates higher in Toronto and Vancouver?
Sometimes slightly, mostly because of demand and the cost of reaching downtown venues. The bigger price jumps come from peak dates, not the city alone.
What is the minimum booking for event staff?
Most Canadian agencies book a minimum of four hours per staff member, per shift.
How far ahead should I book brand ambassadors or trade show staff?
For trade shows and large campaigns, four to six weeks ahead. For smaller events, festivals and tastings, one to two weeks is usually enough.
Do bilingual staff cost more?
Yes, usually a bit more per hour. Fewer staff are fluent in a second language, and they are in high demand.
Do you provide event staff outside major cities?
Yes. Buzz Promotions has staff and takes bookings in every province across Canada. Events outside major centres may include travel time.
